Hygiene Management System

Recording Information

The Hygiene Management System provides a complete but simple documentation system to manage the hygiene operation on a customer site. It is used for open plant cleaning and is also available for Cleaning in Place (CIP). The system is tried and tested and complies with all known third party standards and best practice. It is available as a paperwork system or electronically and provides the account with a schedule of cleaning, detailed methodology of clean for each piece of equipment (or surface) and a control system to ensure that cleaning is recorded and monitored.

The Hygiene Management System (HMS) Manual provides all documentation required to enable the hygiene management team to successful manage the hygiene operation. It maintains this information in a single place.
It promotes a professional image and is under document control and includes the following sections:

  • Hygiene Management Summary shows an outline of the hygiene operation and the structured support plan agreed by site and provided by Holchem.
  • Site Visit Reports are issued after visit to site and list the main purpose of the visit and the individual comments and actions arising from that visit. Any actions are identified against either site or Holchem and are signed off after completion.
  • Cleaning Procedure Documentation includes a Summary Sheet of all cleaning instruction cards and the Cleaning Instruction Cards.
  • Planning & Control includes the planners provided to initiate the non daily cleans and the control sheet templates used to allow site to sign off the individual or grouped cleaning tasks when completed.
  • Audit and Review includes all audits carried out by Holchem. These may be structured audits as part of the Structured Support Plan or requested audits by site.
  • Monitoring is the section were site maintain records of chemical strength records.
  • Training is the section where all training records related to hygiene are kept. This includes the Record of Training for each training session and individual training certificates.
  • Product Information holds both the Product Information Sheets and the Material Safety Data Sheets.
  • Equipment Information holds the Product Information Sheets for dosing or application equipment used on site.
  • Technical Information is the section where relevant technical guides are held.

System8 is an electronic hygiene management system that gives the customer control over their hygiene management system. It allows the customer with password security to carry out the following:

  • Create and amend Cleaning Instruction Cards with photographs or videos.
  • Plan non daily cleaning tasks.
  • Create daily and non-daily cleaning tasks sheet.
  • Sign off of cleaning tasks when completed.
  • Record chemical strengths, micro results and audit results.
  • Record stock levels of cleaning chemicals.
  • Report on all cleaning records, results and non-compliance.
